First: copy your signature
- Fill in your details at the top of this page.
- Open Email signature and copy the signature (rich text). Use the HTML version only for apps that ask for HTML code.
- Paste it into one of the apps below.
Gmail (on a computer)
- Click the gear icon → See all settings.
- On the General tab, scroll to Signature → Create new, and give it a name.
- Paste into the box. Choose it as the default for new emails and replies.
- Scroll down and click Save Changes.
Gmail allows up to 10,000 characters. If you see “Plain Text” above the box, turn off plain-text mode in a compose window (More options).
Gmail app
Android: Menu → Settings → your account → Mobile signature. iPhone: Menu → Settings → Signature settings → turn on Mobile Signature. The mobile signature is text only and is used just for mail sent from the app; without one, the app uses your computer signature.
Outlook
- New Outlook for Windows and Outlook on the web: gear → Accounts → Signatures → Add signature → name it, paste, set the defaults → Save.
- Classic Outlook for Windows: New email → Message → Signature → Signatures… → New → paste under Edit signature → choose defaults → OK. Classic signatures are saved on that computer only.
- Outlook mobile: Settings → Signature; it replaces “Get Outlook for iOS/Android”. Keep it to text.
Using both the desktop app and the web? Add the signature in each.
Apple Mail
- Mac: Mail → Settings → Signatures → pick the account → + → paste into the right-hand column. Untick “Always match my default message font” if the colors disappear.
- iPhone and iPad: Settings → Apps → Mail → Signature. Apple says iPhone Mail signatures are text only, so use the plain version: name, title, phone and your card link.
Tips
- Keep it to four or five lines; skip quotes and banners.
- Send yourself a test email and open it on a phone.
- A photo only shows if it's hosted on a public https address — leave it out if you're unsure.
